Accounting software for small business in Canada: an honest guide

An honest look at QuickBooks, Wave, Xero and FreshBooks for Canadian businesses — how to choose, and the option the roundups leave out.

Most “best accounting software” lists are affiliate rankings. This one is written by people who set these systems up for a living, so here’s the honest version: the software is rarely the problem. Choosing it is easy; keeping it current is the hard part. Start there.

The main options for Canadian owners

All four below handle HST, bank feeds and reports, and all are used across Canada. Prices move with promotions and plan, so treat these as shape, not quotes — check the current Canadian page before you buy.

  • QuickBooks Online. The default. Deep features, every accountant knows it, tiered plans that climb as you add users. Frequent promos cut the first few months, then the real rate kicks in.
  • Wave. Free for the core bookkeeping and invoicing; it makes its money on payment processing fees. Good for very small or solo operations.
  • Xero. Clean, popular with bookkeepers, priced per plan with limits on the lower tiers. Strong bank reconciliation.
  • FreshBooks. Toronto-built, strongest at invoicing and time tracking, priced by how many billable clients you have.

How to actually choose

  1. Match it to how money moves. Lots of small sales? Invoicing-heavy? Inventory? The right tool fits your real workflow, not a feature checklist.
  2. Count the true cost. List price plus per-seat fees plus the promo expiring plus your time to run it. The subscription is the small number.
  3. Check the exit. Can you get your data out? Open, portable books matter more than one vendor’s roadmap.
  4. Be honest about who runs it. Software gives you a login and leaves the work to you. That’s the line most owners trip on.

The option the lists leave out
